BAYS Guest Player Policy & Requests

The BAYS Guest Player Policy allows players to temporarily play (guest) on another higher-level team to augment the roster for a single game. NGS travel teams may add up to 4 guests to fill in for absent players so that a game can be played as scheduled. Teams do not have to take advantage of this policy but may at their option.

Guest Player Requirements

BAYS has established parameters for guest players.

  • A guest player must be a NGS player who is currently rostered on a BAYS team.
  • Guests cannot play down in a lower division, section, or grade group.
  • Up to four guest players may fill in for absent players so that a game can be played as scheduled.
  • Guests must prioritize the game for their primary team.
  • Players may not play in more than two games per day.

Player Count Limits

Teams using guest players must limit their player counts.

BAYS recommends the total number of players playing for a team using guest players be as follows:

  • Grades 3 and 4 (7 v 7): 11 players
  • Grades 5 and 6 (9 v 9): 13 players
  • Grades 7 and 8 (11 v 11): 15 players

How to Request a Guest Player

Each BAYS member club is responsible for setting and managing their own administrative process for using guest players.

  • To use a guest player, a NGS coach must submit an online request form at least 72 hours prior to the game. The coach will need the following information to complete the request form.
    • BAYS Division / Section
    • BAYS Game #
    • Game date, time and location
    • Number of team members available
  • After receiving the request, NGS Director of Coaching or the Director of Operations and Registration will 
    • Secure guest player(s) that meet the BAYS requirements for guest players, making every effort to spread out the experience by not repeatedly selecting the same players to be guests 
    • Notify the guest player’s primary coach
    • Provide the requesting team with a pdf of the official roster(s) listing the guest player(s)

Game Day Process

Teams using a Guest Player must follow a specific check-in process prior to the game.

  • Coaches must print two copies of the PDF guest player’s assigned team roster, as provided by NGS, and edit as follows: 
    • Write the BAYS Game # on all of the rosters.
    • On each roster, cross out the players who are NOT playing in the current game.
    • Ensure that all players have a unique jersey number. If a guest player wears the same number as another player on the team, tape a new number onto their jersey and write the new number on the roster.
  • Coaches must provide the referee with two PAPER copies of the team’s official game roster and two PAPER copies of the official roster listing the guest player.
  • Referees will give one set of rosters to the opposing coach. The opposing coach should keep these rosters.
  • Referees will check in players using the provided rosters. They will treat guest players meeting the aforementioned policy requirements as fully rostered and eligible for the match and report any issues or events related to those players in the same fashion as any other player in their game report.

Consequences

Don’t abuse it! The policy is not to be used to gain a competitive edge!

  • If the rostered players are questioned, it is the BAYS Division Director, or Grade Director, as needed, who will determine the outcome of the game. Referees must keep all rosters for all games until the end of the season.
  • If an ineligible player is played during a game (even with referee consent), the game will be forfeited.
  • BAYS Clubs and coaches are bound by MR1 the Honor System and expected to act with good sportsmanship.
